As we have mentioned in last week’s post, as a translator, it is increasingly important to know about shortcut keys in order to boost your productivity and save time.
Find below a list of commonly used shortcut keys for Word and Excel that will help you optimize time and be more efficient.

Word shortcut keys

Ctrl + A: To select all the content of the page
Ctrl + B: To bold a highlighted selection
Ctrl + C: To copy the selected text
Ctrl + X: To cut the selected text
Ctrl + N: To open a new/blank document
Ctrl + O: To open options
Ctrl + P: To open the print window
Ctrl + F: To open the find box function
Ctrl + I: To italicize the highlighted selection
Ctrl + K: To insert a link
Ctrl + U: To underline the highlighted selection
Ctrl + V: To paste
Ctrl + Y: To redo the last action performed
Ctrl + Z: To undo the last action performed
Ctrl + G: To find and replace options
Ctrl + J: To justify the paragraph alignment
Ctrl + L: To align the selected text or line to the left
Ctrl + Q: To align the selected paragraph to the left
Ctrl + E: To align the selected text or line to the center
Ctrl + R: To align the selected text or line to the right
Ctrl + M: To indent the paragraph
Ctrl + T: To create a hanging indent
Ctrl + D: To open font options
Ctrl + Shift + F: To change the font
Ctrl + Shift + >: To increase the selected font +1
Ctrl + [: To decrease the selected font -1
Ctrl + Shift + *: To view or hide non-printing characters
Ctrl + (Left arrow): To move one word to the left
Ctrl + (Right arrow): To move one word to the right
Ctrl + (Up arrow): To move to the beginning of the line or paragraph
Ctrl + (Down arrow): To move to the end of the line or paragraph
Ctrl + Del: To delete the word to the right of the cursor
Ctrl + Backspace: To delete the word to the left of the cursor
Ctrl + End: To move the cursor to the end of the document
Ctrl + Home: To move the cursor to the beginning of the document
Ctrl + Space: To reset the highlighted text to the default font
Ctrl + 1: To single-space lines
Ctrl + 2: To double-space lines
Ctrl + 5: To apply 1.5-line spacing
Ctrl + Alt + 1: To change the text to heading 1
Ctrl + Alt + 2: To change the text to heading 2
Ctrl + Alt + 3: To change the text to heading 3
F1: To open help
Shift + F3: To change the case of the selected text
Shift + Insert: To paste
F4: To repeat the last action performed (Word 2000+)
F7: To run spell check on the selected text and/or document
Shift + F7: To activate the thesaurus
F12: To save the document as
Ctrl + S: To save the document
Shift + F12: To save
Alt + Shift + D: To insert the current date
Alt + Shift + T: To insert the current time
Ctrl + W: To close the document

Excel shortcut keys

F2: To edit the selected cell
F5: To go to a specific cell
F7: To run spell check on the selected text and/or document
F11: To create a chart
Ctrl + Shift + ;: To enter the current time
Ctrl + ;: To enter the current date
Alt + Shift + F1: To insert a new worksheet
Shift + F3: To open the Excel formula window
Shift + F5: To bring up the search box
Ctrl + A: To select all contents of a worksheet
Ctrl + B: To bold the highlighted selection
Ctrl + I: To italicize the highlighted selection
Ctrl + C: To copy the selected text
Ctrl + V: To paste
Ctrl + D: To fill
Ctrl + K: To insert a link
Ctrl + F: To open the find and replace options
Ctrl + G: To open the go-to options
Ctrl + U: To underline the highlighted selection
Ctrl + Y: To underline the selected text
Ctrl + 5: To strikethrough the highlighted selection
Ctrl + O: To open the options function

Ctrl + Z: To undo the last action performed
Ctrl + F9: To minimize the current window
Ctrl + F10: To maximize the currently selected window
Ctrl + F6: To switch between the open workbooks/windows
Ctrl + Page up & Page Down: To move between Excel worksheets in the same document
Ctrl + Tab: To move between two or more open Excel files
Alt + =: To create the formula to sum all of the above cells
Ctrl + -: To insert the value of the above cell into the current cell
Ctrl + Shift + !: To format the numbers in comma format
Ctrl + Shift + $: To format the numbers in currency format
Ctrl + Shift + #: To format the numbers in date format
Ctrl + Shift + %: To format the numbers in a percentage format
Ctrl + Shift + ^: To format the numbers in scientific format
Ctrl + Shift + @: To format the numbers in time format
Ctrl + (Right arrow): To move to the next section of text
Ctrl + Space: To select the entire column
Shift + Space: To select the entire row
